Management Breakdown


Management users are within a company. They have the highest level of information and control access within the company. They are charged with administrative management and reporting. 

Dashboard

  • Tasks
    • Gives users an overview of tasks including new requests, in-progress tasks, open tasks, and completed tasks. 
    • Users can use this overview to toggle to those specific task category pages. 
  • Homes
    • Gives users an overview of the homes integrated into the COOP including the number of managed homes, unmanaged (or not using the COOP) homes, smart homes, vacation rentals, and long term rentals. 
    • Allows users to toggle between the pages associated with each type of home listed above. 

Locations

  • Organizations
    • Allows users to toggle location views by organization 
    • Allows users to select more than one organization to view
  • Filters
    • Users can filter locations by: managed, unmanaged, smart home, vacation rental, and long term rental. 
    • Users can also view more than one category at a time. 
    • Users can search locations by property name, address, and homeowner.
  • Create Locations
    • Management users can create new locations as part of an onboarding process for properties. 
    • Assign type of property, manage property location and information and edit at any time. 
  • Locations Links
    • Locations are listed out by street address, unit, the name of the home, city, state, zip, and owners
    • Each location can be expanded to view a map/satellite view of the property, the homeowners, description, calendar for location, tasks (done and active), notes, documents, information, all checklists, bills (past and pending), and settings.

      • Events tied to a location (bg-info)
      • Events tied to organizations of location (bg-info)
      • Bookings from 3rd party booking software (bg-success)

Tasks

  • Create Task
    • Allows user to create and assign tasks to locations, other users, organizations, and teams. 
    • Allows users to upload documents, such as images, to help with task comprehension as well as receipts for homeowners and accounting purposes. 
    • Allows users to send automated SMS to users and teams after a task is created. 
  • My Tasks
    • Allows user to view assigned tasks and its corresponding information including address, teams, organizations, type, due date, and updates associated with a specific task.
    • Allows users to toggle to the full page view of a specific task and update it. 
  • All Tasks
    • Allows users to view all tasks, assigned users, etc. 
    • Allows users to toggle to the full page view of a specific task and update it. 
  • Filter
    • Allows user to filter tasks by status, type, priority, teams, users, organization, and due date. 
  • Task Location/Map
    • Allows users to view tasks by location on a visual map. 

Organizations

  • Create an Organization
    • Allows users to create new organizations, add their QuickBooks ID, and Merchant ID.
  • Organization Breakdown 
    • The organization page allows users to view all organizations associated with the company. 
    • Allows user to toggle to the full page view of each organization and see/interact with their locations, notes, contacts, users, documents, and homeowners.
    • Allows users to view an organization’s Quickbooks ID and Merchant ID 

Teams

  • Create Team
    • Allows users to create new teams
  • Team Breakdown
    • Allows users to view currently activity teams in their company
    • Allows users to toggle to the full page view of each individual team to view all users, associated locations, and associated organizations.
      • Allows users to edit teams within the full page view of the individual teams
      • Allows users to message every member of a team from the app. 

Users

  • Create User
    • Allows users to create new users and send them a registration code. 
    • Allows users to assign new users to locations, organizations, and teams. 
  • Type
    • Allows users to view users by type including admin, homeowner, management, maintenance, without type, and vendor
  • User Breakdown
    • Allows users to view all users associated with that company. 
    • Allows users to toggle to a full page view of each user and see what user type they are, what locations they are assigned to, what organizations and teams they are assigned to, their contact information, activity status, and registration status. 
    • Allows users to edit other users’ information

Checklists

  • Create Checklist
    • Allows users to create new checklists and add items to said checklist. 
  • Checklist Breakdown
    • Allows users to view all checklists created in the company
    • Allows users to toggle to the full page view of individual checklists
      • Allows users to edit checklists by adding/removing checklist items
      • Allows users to rename checklists

Events

  • Create Event
    • Allows users to create an event including its name, location, description, organization and location assignments, start and end dates, and time. 
  • Event Breakdown
    • Allows users to view all events created in the company
    • Allows users to toggle to the full page view of individual events
      • Allows users to edit events
      • Allows users to view all event information

Reports

  • Task Breakdown
    • Allows users to view task reports
      • Task Update Reports
        • Users can see all task update from the day and can organize their view by dates, users, status, organization, billable, cost, and hours. 
      • Task Location Reports
        • Takes users to the location breakdown and allows users to view each location individually. 
      • Hours Worked Reports
        • Allows users to view hours worked by individual employees. 
        • Can be organized by date

Accounting

  • Billable Tasks Breakdown
    • Allows users to view billable tasks by specific locations
    • Allows users to toggle to full page view of each location and see all billable items associated with that location.
